1. Our Commitment to Privacy

INTELLIGENCE CONNECT, a division of ÁPEIRON INTELLIGENCE GROUP, LLC, a Nevada limited liability company, is committed to protecting the privacy, security, and integrity of all information entrusted to us.

We provide AI voice systems, CRM infrastructure, automation tools, and communication technologies for businesses and healthcare organizations. Because our services involve automated communication and data processing, we implement strict administrative, technical, and contractual safeguards.

Privacy is foundational to our systems and operations.


2. Scope of This Policy

This Privacy Policy describes how we collect, use, disclose, retain, and protect information when you:

  • Visit our websites, portals, or applications

  • Subscribe to or use our AI Voice Receptionist or CRM systems

  • Engage with our communication infrastructure

  • Integrate our systems via API or third-party platforms

  • Enter into a Subscription Agreement with us

This Policy applies to business clients, website visitors, and authorized users of our systems.

When processing data on behalf of clients, we may act as either:

  • A Data Processor (under GDPR and similar laws), or

  • A Service Provider (under CCPA), or

  • A Business Associate (under HIPAA),

depending on the nature of the engagement.

This Policy is incorporated by reference into our Subscription Agreement.


3. Information We Collect

We collect only information necessary to provide our Services.

A. Personal and Business Information

  • Name, company name, title, and contact details

  • Account credentials and authentication data

  • Billing details, subscription information, and payment method (processed via third-party payment processors such as Stripe)

  • Business configuration data provided during onboarding

B. Client Data (Operational Data)

When providing services, we process client-controlled data, which may include:

  • Customer names

  • Phone numbers

  • Call recordings

  • Appointment data

  • CRM entries

  • Message transcripts

  • Call logs

Client retains ownership of this data as defined in the Subscription Agreement.

C. Technical & Usage Data

  • IP address

  • Device identifiers

  • Browser type

  • Operating system

  • Log data

  • Session diagnostics

  • Security monitoring information

D. Protected Health Information (PHI)

For healthcare clients operating under a signed Business Associate Agreement (BAA), we may process PHI strictly within the scope authorized by the Covered Entity.

We do not use PHI for AI model training, advertising, analytics, or product development.


4. How We Use Information

We use information solely to:

  • Deliver and operate our AI and CRM systems

  • Authenticate and manage accounts

  • Provide customer support

  • Maintain system security and fraud prevention

  • Process subscription payments

  • Improve system stability and performance

  • Comply with legal and regulatory obligations

  • Enforce contractual agreements

We do not sell personal data.

We do not use Client Data to train general-purpose AI models.

AI configurations are client-specific and operate within isolated environments.


5. Sharing and Disclosure

We may share information only in the following circumstances:

A. Service Providers

We rely on secure third-party infrastructure providers, which may include:

  • Cloud hosting providers

  • Telecommunications carriers

  • AI model providers

  • CRM or scheduling integrations

  • Payment processors

These providers process data only to deliver services and are bound by contractual confidentiality and security obligations.

B. Legal Requirements

We may disclose information if required by subpoena, court order, or lawful governmental request.

C. Corporate Transactions

In the event of merger, acquisition, restructuring, or sale of assets, data may transfer subject to equivalent confidentiality protections.

We do not sell or rent data.


6. Data Retention, Export & Deletion

Client Data retention and deletion are governed by the Subscription Agreement.

During an active subscription:
Clients may access and export their data using available system tools.

Upon termination of services:
Clients are provided a fourteen (14) calendar day period to request or export their data.

After this period:
Data may be permanently deleted from active systems.

We may retain limited archival backups solely for legal, regulatory, or accounting compliance purposes. Such backups are not accessible for operational use.

We are not responsible for data retained by third-party systems outside our direct control.


7. Security Safeguards

We maintain administrative, technical, and physical safeguards, including:

  • Encryption in transit and at rest

  • Role-based access controls

  • Multi-factor authentication

  • Audit logging

  • Secure cloud infrastructure

  • Continuous monitoring

  • Incident response procedures

No system can guarantee absolute security; however, we apply industry-standard safeguards appropriate to the sensitivity of processed data.


8. Your Rights

Depending on jurisdiction, individuals may have rights to:

  • Access their personal information

  • Correct inaccurate information

  • Request deletion (subject to contractual and legal limits)

  • Obtain data portability

  • Withdraw consent where applicable

9. International Transfers

Data may be processed in the United States.

Where applicable, cross-border transfers are protected by appropriate safeguards, including Standard Contractual Clauses (SCCs) or other recognized legal mechanisms.


10. HIPAA Compliance

When operating under a signed BAA:

  • We act as a Business Associate

  • We follow HIPAA Privacy, Security, and Breach Notification Rules

  • We apply minimum necessary standards

  • We provide breach notification consistent with HIPAA requirements

PHI is processed only as instructed by the Covered Entity.


11. Children’s Privacy

Our services are intended solely for business use.

We do not knowingly collect information from individuals under 18.


12. Changes to This Policy

We may update this Privacy Policy to reflect legal, technical, or operational changes.

Updated versions will be posted with a revised Effective Date.

Continued use of services constitutes acceptance of updates.
